Create an accurate cargo list

List each package and describe the contents in plain, specific language. Avoid vague labels such as “items” or “goods.” Accurate descriptions support quoting, handling and document preparation.

  • Package count
  • Contents and quantity
  • Condition and declared value documents
  • Any fragile, battery-powered or sensitive items

Weigh and measure every package

Record length, width and height using one unit consistently. Share actual weight and do not round dimensions down. Carriers may compare physical and volumetric weight.

Pack for the full journey

Use packaging that can tolerate stacking, handling and transport. Fragile items need internal cushioning and should not move inside the outer carton. Heavy cargo may need a suitable crate or pallet.

  • Strong outer packaging
  • Cushioning and void fill
  • Secure tape or strapping
  • Readable package identification without exposing private data

Prepare supporting documents

Document needs depend on the cargo and applicable authorities. Commercial invoices, packing lists, identification, ownership records or permits may be requested. Confirm requirements before handover.

Confirm before handover

Verify the agreed receiving point or collection arrangement, shipping method, number of packages and the next communication step. Keep your tracking reference once the shipment is processed.
